This notice describes how SimpliTrack handles personal data for the people whose organisation uses it.
What we collect
- Your name and work email (added by your organisation’s admin).
- Time entries — dates, projects, hours, and any notes you add.
- Leave and comp-off records — dates, type, and the reason you give (a sick-leave reason may reveal health-related information; it is visible only to you and your approver, and is never shown in reports or exports).
- Your IP address when you request a sign-in code or use the “express interest” form, used for security and rate-limiting.
- An activity log of actions taken in the app (who changed what, and when).
How we use it
- To run time tracking, leave, and reporting for your organisation.
- To sign you in (we use one-time email codes — there are no passwords).
- To let managers and admins see reports and approve leave.
- To keep the service secure and maintain an audit trail.
We process this data to administer your organisation’s use of the service. In India this is governed by the Digital Personal Data Protection Act, 2023.
Who it’s shared with
We do not sell your data or share it for advertising. It is processed on our behalf only by:
- our cloud hosting and database provider — data is stored in India;
- our email-delivery provider — for sign-in codes and notification emails.
Within your organisation, your time and leave data is visible to your managers and admins as needed to run the system.
How long we keep it
Records are kept while your account is active. “Deleting” a person, project, or organisation deactivates it and retains the data; a closed organisation’s data may be permanently deleted any time after 90 days. On request, a person’s identifying details can be anonymised while aggregate hours are retained.
How it’s protected
Sign-in is passwordless (one-time email codes, rate-limited). Traffic is encrypted with TLS, the operator console is access-restricted, and the database is continuously backed up.

To access, correct, or request deletion/anonymisation of your data, contact your organisation’s admin, or email track@simplit.in.
